As with anyone, I’m pounded daily with tasks at the workplace and just as many at home. As a computer graphics professional, I also get a lot of family and friends requesting assistance with their graphics projects, general computer troubleshooting and various other tasks. I have always been willing to help however I can, but unfortunately sometimes things would fall between the cracks. A few years ago, I adopted David Allen’s Getting Things Done (GTD) into my daily work flow. It didn’t take long for me to realize that GTD really does work. I’ve found that it really helps break those bigger tasks down to size while still keeping the small tasks in the forefront so they don’t fall in the cracks.

My brother, Ken, who introduced me to GTD, also introduced me to a variety of both GTD-friendly and general task management websites such as Evernote, Keep Tempo, Klok, Remember The Milk, Taglocity, Todoist, Toggl and Toodledo.

I’ve tried them all.

In the end, I found that what works for me is both Klok to keep track of my real-time on projects, but primarily I use Toodledo to keep track of all my tasks. What I love about Toodledo is the fact that it’s so versatile. There is an iPhone app, a Blackberry app, the ability to import new tasks through Twitter/SMS, email, the web, Outlook or a variety of other applications.

Personally, I don’t find a need for a data plan so I take advantage of Toodledo’s configuration with Twitter. So a simple SMS message to Twitter (40404) would be something like d toodledo Add a new task to Toodledo #today =5:00pm. That would be a direct message to Toodledo, telling the task name Add a new task to Toodledo to be due today at 5pm. It’s very fast, especially if you have a few commonly-used templates on your phone. For a full list of Toodledo’s special commands for Twitter, check them out here.

That is a quick rundown. I’ve had a few people ask me what I use for time management, so that’s why I wanted to post this. If you want more reading, Jason Schleifer has done some great research over on his website for some GTD websites. I’m always willing to change my work flow to make it more productive – so I’d love to hear how you organize your time and tasks!

For implementing GTD you can use this web-based application:

    http://www.Gtdagenda.com

You can use it to manage your goals, projects and tasks, set next actions and contexts, use checklists, schedules and a calendar.
A mobile version is available too.

Thanks for the link, Dan. I’ll admit that I haven’t used GTD Agenda, so I’ll have to check it out. First glance looks a lot like Toodledo but with a steeper price tag.
